Add a Member

When someone joins your school, the first thing you do is create a member profile for them. This takes less than a minute for a basic profile, and you can always fill in more details later.

You need the Manage Members permission to add members. If you don’t see a New Member button on the Members page, ask your school administrator to check your role permissions.

  1. Go to Members in the main navigation.
  2. Click New Member in the top right.
  3. Fill in the member’s details (see the field reference below).
  4. Click Create Member.

Kanri saves the new profile and takes you straight to the member’s overview page.

Only First Name and Last Name are required. Everything else is optional and can be filled in later.

FieldNotes
First NameRequired.
Last NameRequired.
Family StatusThe member’s family situation: Single, Married, Divorced, Widowed, Separated, Common Law, or Other.
SexMale, Female, or Other.
BirthdayUsed in the Birthday report and shown as an age on the profile.
PhoneUsed for SMS messages. Must be unique within your school — if another profile already has this number, you’ll see an error.
EmailUsed for sending emails and for portal login. Must be unique within your school.
Can manage selfWhen enabled, this member can be their own account manager in the portal (they don’t need a separate guardian or contact to manage them).

Every new profile starts as a Lead — Kanri’s default type for anyone who doesn’t yet have a membership, subscription, or staff role. The type updates automatically as you set up the member:

  • Assign a membership or subscription and they become a Member
  • Add them as a contact for another member and they become a Contact
  • Assign them a staff role and they become Staff

You don’t need to manage types manually. See Members overview for a full breakdown of member types.

When Kanri creates the profile:

  • A unique member number is automatically assigned. Members can use this number — or search by first name — to sign in at the kiosk.
  • If the email or phone number matches any existing unassigned message conversations, Kanri links them to the new profile.

The new profile exists but has no memberships, subscriptions, or billing set up yet. Typical next steps:

  1. Assign a membership to enrol them in a program.
  2. Create a subscription to set up recurring billing.
  3. Add a payment method so billing can process automatically.
  4. Upload a photo for kiosk identification.
  5. Invite them to the portal so they can log in.
