Configure Initial Settings
Before you start adding members, creating programs, or building schedules, take a few minutes to configure the essentials. Getting these right from the start saves you having to fix things later.
1. General settings
Section titled “1. General settings”Go to Settings → General. The fields here affect how Kanri behaves across your whole school.
Timezone is the most important one. Kanri uses your timezone for all class times, reports, and billing dates. If it’s wrong, your schedule will appear at the wrong time for everyone. Set this first.
Default active status and Default inactive status are the membership statuses Kanri assigns automatically when you enrol a member or end a membership. The defaults are Active and Inactive. You can change these after you’ve set up your statuses in the next step.
Level name and Level name (plural) let you rename the levels system to match your school’s terminology. If your school uses belt grades, you might enter “Belt” and “Belts”. If you use something else entirely, change it here. Leave these blank to use the default “Level” and “Levels”.
Tax settings control whether Kanri applies tax to subscription payments. Set your tax jurisdiction, rate, and whether tax is included in the displayed price or added on top. If you’re not sure, check with your accountant before enabling this.
Click Save after making changes.
2. Membership statuses
Section titled “2. Membership statuses”Kanri comes with two default statuses: Active and Inactive. You can rename these and add more to suit how your school works. Common additions include Trial, On Hold, and Suspended.
- Go to Settings → Membership Statuses.
- Click the edit icon next to a status to rename it.
- Click New Status to add a custom one.
- For each status, choose whether it counts as active or inactive. This affects reports and kiosk access.
Once you’re happy with your statuses, go back to Settings → General and confirm the default active and inactive statuses are set correctly.
3. Branding
Section titled “3. Branding”Adding your brand colour makes Kanri feel like your school. Your members will see your branding in emails and on the Member Portal.
- Go to Settings → Branding.
- Set your brand colour using a hex code or the colour picker.
- Click Save.
On the Starter plan, you can also set a phone number for SMS sending. Professional and Enterprise plans unlock a custom email sender address and a vanity URL.
